Medical Records Specialist #426

The Medical Records Specialist processes releases of information and verify for HIPAA compliance in a medical setting. Able to process large amounts of information accurately and timely in an electronic record environment.

Location: This position is based out of LifeWorks NW's Sylvan site.

Pay/Benefits: $23.16 starting hourly pay, plus pro-rated benefits. This is a part-time position.

Essential Responsibilities:

  • Process incoming medical record requests, create records release documentation form, print records, coordinate transmission, and log transactions. 
  • Scan documents in an accurate and timely manner.
  • Responds and provides information to external/internal record requests or inquiries.
  • Provides clinical support such as sending no contact letters.
  • Merges client numbers as needed.
  • Does special data entry projects mainly for audit purposes.
  • Performs reception duties, answering phones (on multi-line phone system).
  • May be requested to perform as a backup Administrative Assistant 2.
  • Processes records for subpoenas.  Appears for subpoenas as required.
  • Completes data entry on a daily basis.  Updates, corrects and transfers information in the electronic health record as needed. 
  • Request and process invoices for payment of records.
  • Completes tasks accurately within defined timeframes with minimal supervision. 
  • Consistently helps cover for co-workers when needed and willingly accepts and follows through with other tasks as needed.
  • Meets standards for attendance following the department's call-in policy for any unscheduled absences.
  • Checks e-mail/voice mail throughout the day when working responding to contacts throughout the day.
  • Continually increases level of cultural sensitivity, awareness and competency.
  • Participate in regular individual and team meetings with supervisor.  Attend informational and clinical meetings which may include all staff and team meetings, consultation with other staff and required trainings.
  • Protect the security of medical records to ensure that confidentiality is maintained.

Qualifications: 

  • High school diploma/GED or equivalent.
  • Medical Record Technology training preferred with Accredited Record Training in progress or completed plus 2 years previous experience working with medical records.
  • Understanding of HIPAA requirements as it relates to medical records.
  • Good computer skills including a functional knowledge of Microsoft Outlook, Word and Excel.  Ability to apply proprietary software. Must be able to keyboard 25 wpm and use 10 Key.
  • Demonstrates effective communication skills and maintains a cooperative working relationship with others in a culturally diverse environment.
  • Ability to perform essential functions of job without creating a direct threat to the safety of self or others.
