Office Support Specialist II-Crisis, On-Call #141

The On Call, Office Support Specialist II-Crisis responsible for answering inquiries, obtaining information and a variety of office duties in a fast paced clinical front office setting. This position provides support to clinical staff working with mental health and addictions clients of all ages in person and on the phone.  Typically handles the more complex administrative functions at a site.

Location: This position is based out of LifeWorks NW's Hawthorn site.

Pay: $24.78 starting hourly pay.

Essential Responsibilities:

  • Performs reception duties, answering phones (on multi-line phone system). Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
  • Act as a resource to staff and clients.
  • Responsible for insurance verifications, and administrative intakes. 
  • Update and maintain records in proprietary software.
  • Utilize dual EMRs (Washington County and Lifeworks NW EMRs). Manage office paperwork and flow.
  • Serve as back-up for other administrative positions as needed.
  • Does data entry, references information on the computer, schedules, runs basic reports as needed. 
  • May be required to be cross train in processing incoming medical records request, create records release documents, print records, coordinate transmission, and log disclosures.
  • Scanning, copying and faxing as needed. 
  • Receive payments and record receipts for services.
  • Hear and process complaints from customers and public.
  • Schedule appointments and maintain and update appointment calendars.
  • Provide information about establishment such as location of departments or offices, employees within the organization, or services provided.
  • Participate in regular individual and team meetings with supervisor.  Attend informational and administrative meetings which may include all staff and team meetings, consultation with other staff and required trainings.
  • Continually increase level of cultural sensitivity, awareness and humility.  Actively participates in a minimum of four hours of training related to working with diverse populations.
  • Participate in a culture of feedback at the agency by eliciting feedback to promote professional growth and assess work effectiveness
  • Unload and sort courier items and/or office supplies as needed.
  • Meets standards for productivity, accuracy/quality of work, customer service and team work as defined in the Performance Evaluation.
  • Meets standards for attendance following the department's call-in policy for any unscheduled absences. 
  • May travel between sites or in the community.

Qualifications:

  • Requirements are representative of minimum levels of knowledge, skills and/or abilities.  To perform this job successfully, the employee will possess the abilities or aptitudes to perform each task proficiently.) 
  • High school diploma/GED or equivalent.
  • Previous experience/formal education preferably in a clinical setting.
  • Prior experience working as a receptionist preferably in a mental health setting. 
  • Ability to perform essential functions of job without creating a direct threat to the safety of self or others.
  • Good computer skills including a functional knowledge of Outlook, Word and Excel, 10-key, telephone skills and electronic record systems.  Ability to master proprietary software which may include on-line scheduling and billing.  Must be able to keyboard 45 wpm. Knowledge and previous experience with office equipment including photocopying, faxing and scanning etc.
  • Demonstrates effective communication skills and maintains a cooperative working relationship with others in a culturally diverse environment. May require fluency in another language and experience in a specific culture.
  • May require ability to work some evenings and/or weekends.

Working Conditions

Working in person-

  • The ability to report to the clinic and work in person.
  • As part of crisis and safety net services, our programs are considered essential services and continue to operate when other programs and agencies might be closed, such as during inclement weather or other hazardous conditions, like poor air quality.
  • Individuals in this position need to report in person and provide services during inclement weather and other hazardous conditions (whenever reasonably possible).
  • Work is primarily inside but may require being outside.
  • Office environment is in an urgent mental health walk-in center that houses multi-disciplinary teams in a shared office setting with cubicle seating.
  • Work involves greeting and welcoming individuals in crisis, with limited information about circumstance or risk factors.
  • Physical hazards include interacting with individuals that are agitated or behaving aggressively.
  • Some shifts involve weekends and evenings.
  • Some holidays required (shared between co-workers)
  • Potential for exposure to traumatic events that involve threat to the safety of self or others.
